When you try to start PowerPoint for Mac, you may receive the following error message:

Microsoft PowerPoint has encountered a problem and needs to close. We are sorry for the inconvenience.

Cause

This behavior may occur if any one of the following conditions is true:

  • PowerPoint preferences are corrupted.
  • Programs running in the background are interfering with PowerPoint.
  • Application files are corrupted.
  • A user account profile is corrupted.

Resolution

To resolve this issue, follow these steps. You may find it helpful to print this article before you continue.

Step 1: Quit all applications and close all windows

  1. On the Apple menu, click Force Quit.

  2. Select an application in the 'Force Quit Applications' window.

  3. Click Force Quit.

  4. Repeat the previous steps until you quit all active applications.

Warning

When an application is force quit, any unsaved changes to open documents are not saved.

When you are finished, click the red button in the upper-left corner of the screen, and then go to 'Step 2.'

Step 2: Remove PowerPoint Preferences

  1. Quit all Microsoft Office for Mac applications.

  2. On the Go menu, click Home.

  3. Open Library.

    Note

    The Library folder is hidden in MAC OS X Lion. To display this folder, hold down the OPTION key while you click the Go menu.

  4. Open the Preferences folder.

  5. Look for a file that is named com.microsoft.powerpoint.plist. If you locate the file, move it to the desktop. Start PowerPoint, and check whether the problem still occurs. If you cannot locate the file, the application is using the default preferences.

  6. If the problem still occurs, quit PowerPoint, and restore the file to its original location. Then, go to the next step. If the problem seems to be resolved, you can move the com.microsoft.powerpoint.plist file to the trash.

  7. Quit all Microsoft Office for Mac applications.

  8. On the Go menu, click Home.

  9. Open Library.

    Note

  10. Open the Preferences folder.

  11. Open the Microsoft folder.

Step 3: Perform a clean startup

If the problem continues to occur, go to the next step.

Step 4: Create a new user account

Sometimes, a specific user's information may become corrupted, and this may prevent installation, startup, or use of some applications. To determine whether this is the case, you can log on to the computer by using a different or new user account, and then test the application.

If the problem no longer occurs, the cause exists within the user’s home folder. If you think that the user account was responsible, you can continue to troubleshoot by using the new user account.

If the problem continues to occur, go to the next step.

Step 5: Use the 'Repair Disk Permissions' option

You can use the Repair Disk Permissions option to troubleshoot permissions problems in Mac OS X 10.2 and later versions. If the permissions for your Microsoft software are incorrect, Office for Mac applications may start slowly or perform slowly. To use the Repair Disk Permissions option, follow these steps:

  1. On the Go menu, click Utilities.
  2. Start the Disk Utility program.
  3. Click the primary hard disk drive for your computer.
  4. Click the First Aid tab.
  5. Click Repair Disk Permissions.

Note

The Disk Utility program only repairs software that is installed by Apple. This utility also repairs folders, such as the Applications folder. However, this utility does not repair software that is in your home folder.

Using Presenter view is a great way to view your presentation with speaker notes on one computer (your Mac laptop, for example), while only the slides themselves appear on the screen that you your audience sees (like a larger screen you're projecting to).

To start using Presenter view, click Presenter View on the Slide Show tab.

(Before you start your presentation, you may want to use the Set up Show command on the Slide Show menu to decide on options you want to include, such as running a presentation continuously or whether to use interval timings.)

Get to know Presenter view

Presenter view includes the following tools:

  1. Timer: The timer is located in the top-left of the screen, above your current slide. It starts as soon as you begin using presenter view and continues until you pause or end your slide show.

  2. Current slide: The largest slide in presenter view is the slide that is currently being displayed to your audience.

  3. Clock: The clock is located above your current slide on the right. It displays the current time, as determined by your computer in System Preferences.

  4. Next slide: The next slide in the deck is displayed to the right of the current slide. Your audience cannot see this slide.

  5. Speaker notes: You can add private speaker notes before or during a slide show presentation in the box below the Next slide preview area.

  6. Slide navigation pane: A thumbnail view of previous and upcoming slides in your deck is displayed at the bottom of the screen. (This pane is always visible; it can't be hidden.)

When you use presenter view with a second display, your audience sees the full-screen slide show, while you see the presenter view on your Mac.

  • To go to the next or previous slide, click the arrow buttons below the current slide in presenter view, or use the arrows that appear when you rest your mouse pointer over the current slide.

    You can also use the same keyboard or mouse commands that you use when the slide show is projected in full-screen view.

Skip to a slide

  • In the slide navigation pane at the bottom of the screen, click the slide that you want to skip to.

Timers, notes, and annotations

Pause, start, or reset the timer

The timer shows the total amount of time elapsed while you present. The timer automatically starts as soon as you being using presenter view, but you can pause and then restart the timer if you need to stop to answer questions or take a break.

Read or take meeting notes while you present

On the right side of the screen, below the Next slide preview, you can see any speaker notes that you entered for the current slide, and you can type new notes while you present. Simply click inside the notes pane, and then type your meeting notes.

Write or draw on the current slide

  1. Rest your mouse over the current slide, and then click the Pen tool.

  2. Click Pen on the menu, and then use your mouse to write or draw on the slide.

    Notes:

    • You can change the color by clicking Pen Color on the Pen menu. The size of the pen can't be changed.

    • Anything you write or draw with the pen tool is temporary. It will not be saved if you go forward or back in your slide show or if you end the slide show.

Why are my slides advancing automatically?

If you previously recorded your presentation and saved the slide timings, the slides may be set to automatically advance according to the saved timings. If you do not want to use the timings as you present, you can turn them off. On the Slide Show tab, click Set Up Slide Show, and then clear the Use timings check box.

Exit presenter view and end the slide show

To end the slide show when you are finished presenting, click End Show in the upper-left corner of the slide show, or press ESC.

  • At the top of the Presentation view window, click Use Slide Show.

    This button closes Presenter view. As a result, both your personal computer screen and the projector screen show the slide show.

  1. On the PowerPoint menu, select Preferences.

  2. In the PowerPoint Preferences dialog box, under Output and Sharing, click Slide Show.

  3. In the Slide Show dialog box, clear the Always start Presenter View with 2 displays check box.

  4. Close the dialog box.

  1. On the Apple menu, select System Preferences.

  2. Open the Displays app.

  3. Click the Arrangement tab in the dialog box.

  4. Clear the Mirror Displays check box.

By doing this process, you now have a two-monitor setup. You can present a PowerPoint slide show on one screen while having other applications open on the other screen, keeeping those other apps private to yourself.
